What the system handles

Three stages, one clear record

Stage 01

Document intake

Each petition, notification, or institutional record is received and logged with its date and origin before any review begins.

Stage 02

Internal routing

Registered documents are assigned to the responsible staff member, with each handoff recorded so the next step stays visible.

Stage 03

Digital archival

Resolved records are filed with confirmation references and verified dates, so they can be retrieved later without retracing the paper trail.

Record-keeping standards

Receipts, references, and confidentiality

Every filing produces a receipt that confirms the date of registration and the reference number assigned to the document. Receipts identify the record they confirm, so a visitor or staff member can match a copy against the ledger at any time. Records are kept confidential. Only staff responsible for a given document can view its status and content, and access is logged so the handling history of each file remains accurate.

Archived records keep their original registration date and the reference from the moment of intake. Corrections are added as dated notes rather than overwriting the earlier entry, which keeps the record of what happened clear and complete.
